Administrative support agent, construction

Purpose/field of activity Reporting to the administrative manager, the administrative support agent provides continuous assistance to project teams under his/her responsibility, namely on financial, contractual and paperwork aspects of the projects. He/she works closely with the company’s project teams, sub-contractors and professionals to ensure the progression and proper running of projects.
 Responsibilities and duties
  • Write management contracts
  • Write sub-contractor contracts
  • Issue purchase orders and amendments
  • Receive and validate monthly invoices
  • Bring regular updates to plans and verify their conformity
  • Issue guidelines to the involved parties
  • Assist the project team with different administrative tasks
  • Keep the contact lists for projects updated
  • Any other related task when requested

Required qualifications
  • 1 to 2 years of experience in administrative support or in a similar position in the construction field
  • Ability to prioritize
  • Capacity to work in a high-pressure environment
  • Teamwork oriented
  • Analytical thinking and capacity to summarize
  • Proficiency in the Office Suite environment
  • Knowledge of Procore software (asset)
  • Knowledge of Maestro software (asset)
  • Self-reliant and driven
